Question Attention All Accountants / Payroll Personnel

I have been given the go ahead at work to purchase a software program to help me with payroll...(I have been doing it all by hand) so I need to know what is the easiest to use. I have heard Quick Books is pretty good, but I want your thoughts

I won't be using the program to print out checks (at least not right now) I need it to help with the calculations of taxes, retirement, etc. I have just been using a basic spreadsheet to keep track of all this and it's getting pretty crazy!!

We are growing in size and it gets to be pretty time consuming doing this by hand

All info will be GREATLY appreciated!!

How many employees? Do you have profit sharing or stock purchase plans? Any cafeteria plans? Medical/dental insurance?

Jeesh...trying to keep track of just the basics on a regular spreadsheet must be a nightmare! I can't imagine....

I've used Quickbooks, Great Plains, DSI, MAS 90, Tecsys and PeachTree Accounting software.


Quickbooks is best for small companies. If you are going to grow and get bigger than Great Plains is your best bet. Those are my two favorites after working in accounting/payroll for the last 10 years.

Here is the run down:

35 Employees
Health Ins.
Life Insurance
Vision Plan
AFLAC
403b Plan
Some employees are salaried, some are hourly

We are not-for-profit so we don't have any of the fancy stock options

You are right cash, after I do my end of it (the spreadsheets, direct depositing, check writing) I forward all my sheets to our accountant who handes the taxes, etc. It's getting to be a nightmare for us both!

I agree with Shaina...Quickbooks. I hated Peachtree.

You are going to have so much more free time on your hands once you get the new system set up...lol. You are going to be amazed.

That is what I am hoping for Since most of our funding comes from the State of MO, I also have to keep up with quarterly reports, etc. Normally I take home the payroll sheets and do it on weekends because I have no time at work! I never thought I would be this excited about software LOL

With the small size company we have, would Basic, Pro, or Premier be better?

I use Peachtree for all my AP/AR and have no problems with it as a matter of fact - I LOVE IT !!!!

but for the payroll we use ADP services - like you I print out our payroll checks (adp has many programs which you can choose that best suits your company needs) .. I like the fact that I have the option to print out our checks

ADP gives you the software and you just basically go in there and punch in everyones hours and thats it

you modem over the hours (so they have record of it) and print out the checks They do all the w-2 forms (which i hate doing - so that aspect is a big plus for us)

we offer insurance, 401k, aflac, etc. and all that is put in when you first put in the employee and only change it when the amount needs to be adjusted .. otherwise it calculates which is pre tax, after tax etc.

We used Quick Books Pro. We had about 5 users with access to it. That suited us just fine. (Small company of 50 people.)
